Job Overview:
Assist and support the operational excellence for both VP and the overall department in the areas including but not limited to calendar & schedule management, budget overview, reporting, generate agenda, presentation and meeting minutes, department meeting and activities arrangement etc.
Play the role as department contact window for company level administrative activities and manage consolidation in a structured manner with high quality.
Job Responsibilities:
1. Secretarial and administrative support: Work closely with VP of PCN-X to provide administrative and secretarial support in daily business and coordinate administration works for PCN-X (40%)
a. Daily admin support, booking meeting rooms, request management of different departments and business context, internal system monitoring for approvals, company car.
b. Meeting schedule arrangement incl. topic collection and preparation for agenda, slide creation, deck consolidation, take meeting minutes, track and follow-up tasks.
c. Travel logistics arrangements, reimbursement, travel requests support department-specific topics and projects.
2. Department level tasks and projects: Support on department-specific topics and projects (40%)
a. Cost Centre budget tracking and reporting; monthly or annual reporting on request.
b. Support coordination of cross-department and company-level topics, e.g. compliance, audit, training, HR, IT security, facility management, shared folder management, etc.
c. Training & team activity arrangement: incl. regular meetings, team building, company outings, workshop and seminar, internal training and dept. internal communications
3. Ad-hoc projects: 'As part of on-the -job development, certain ad-hoc projects will be assigned, e.g. coordination of dealer conference contents and overall presentation, support in CXA evaluation, proof reading of documents and speeches, project management. (20%)
Requirements:
1. Bachelor’s degree or above, no limitation on major.
2. Above 3 years of working experience in similar position is required. Experiences in automotive industry /data or digital product will be a plus.
3. Strong Outlook/Calendar Management skill; able to prioritize VP's meetings and topics based on the importance of business and urgency.
4. Knowledge of Project Management in relevant industry/brand/product will be a plus.
